Closing Checklist

Okay, let's wrap up with that daily closing checklist and again I'm not going to go over all tasks, but I do want to touch base on a few key important things that I’d like to emphasize.

So, first you're going to run your daily production report or your daily closing report and you want to ensure that all your doctor's charts have been closed out and that all patient invoices have been entered and of course, all orders have been placed as well as insurance filed for that day. Shouldn’t be too big of a task, because we did that at midday for the morning patients, correct? We’re going to double check, make sure they’re still good and then we just want to make sure everything is completed for that afternoon.

Next, when you're ready to close your register, it's important that two people do the count. So you’re going to run your credit card batch receipt and you're going to look at your daily closing report you're going to make sure that all your credit card charges match with your merchant batch report that you ran. And then you're going to reconcile your cash as well as your checks that you have. You both count the petty cash drawer. Once that’s all done, you’ll both sign off on the daily closing report that you confirmed that the numbers are accurate. It's important that two people do this so that we keep that good healthy culture within the practice. With your petty cash, it's important that you track all receipts and give those to your doctor and/or your practice administrator as well as you'll have a set, whether it be $100, $200, however much you’re leaving in your petty cash drawer, you’ll always leave that amount in the drawer and then any remaining will be deposited with your bank deposit for that night. 

Okay, so we've already talked about double-checking authorizations, all of that, the other thing that you'll want to do is make sure that there hasn't been any changes to the next day’s schedule. Make sure there aren't any new, last minute authorizations that need to be pulled or copays that we need to check on. make sure you're all clean and sanitized for the day and you should be set to go home. Oh and don't forget to turn on that answering machine!
